1. Scope

This policy describes how we collect, use, disclose, protect and retain personal data when you browse the Website, submit a contact form, email us or otherwise communicate with us through the Website.

"Personal data" means data about an individual who can be identified from that data, or from that data together with other information to which the relevant organisation has or is likely to have access. WorkOff is the organisation responsible for personal data collected as described in this policy under Singapore's Personal Data Protection Act 2012 (PDPA).

2. Information we collect

We may collect the following information:

  • Contact information: your name and work email address when you submit the contact form or communicate with us.
  • Enquiry information: the topic and contents of your message, along with any other information you choose to provide.
  • Technical information: your IP address, country code supplied by our hosting provider, browser and device information, user-agent string, request time, pages requested, referring page and standard server or security log information.
  • Communication records: our correspondence with you and information needed to follow up on your enquiry.

We collect information directly from you and automatically from your browser, device and the infrastructure used to deliver and protect the Website. Please do not include confidential information, passwords, private keys or sensitive personal data in the contact form.

3. How we use information

We may use personal data to:

  • receive, route and respond to sales, partnership, support and general enquiries;
  • communicate with you and maintain a record of our correspondence;
  • operate, secure, troubleshoot and improve the Website;
  • detect spam, fraud, misuse and security threats, including by applying network-based rate limits;
  • understand Website performance using operational and server data;
  • establish, exercise or defend legal claims and enforce our terms; and
  • comply with applicable laws, regulations and lawful requests.

We collect, use and disclose personal data with your consent where required, for purposes a reasonable person would consider appropriate in the circumstances, and where otherwise permitted or required by law. You may withdraw consent on reasonable notice, subject to legal or contractual restrictions and the consequences of withdrawal.

4. How we share information

We may disclose personal data to:

  • Website and infrastructure providers that host, deliver, secure or maintain the Website and its server logs;
  • Email providers that transmit contact-form submissions and our replies;
  • Professional advisers and contractors where reasonably necessary and subject to appropriate confidentiality obligations;
  • Authorities and other parties where disclosure is required or permitted by law, or reasonably necessary to protect rights, safety, security or the integrity of the Website; and
  • Transaction participants in connection with a proposed or completed financing, merger, acquisition, restructuring or transfer of all or part of our business, subject to appropriate safeguards.

We do not sell personal data collected through the Website.

5. International transfers

Our providers may process personal data in Singapore and other countries where they operate. Those countries may have privacy laws that differ from Singapore's laws.

When we transfer personal data outside Singapore, we take steps required by the PDPA to ensure that the recipient provides a standard of protection comparable to the protection under the PDPA. These steps may include contractual protections and appropriate security measures.

6. Data retention

We retain personal data only for as long as reasonably necessary to respond to and manage your enquiry, maintain business and security records, meet legal or accounting requirements, resolve disputes, or enforce agreements. Retention periods vary according to the nature of the information and the reason we hold it.

When personal data is no longer required for a business or legal purpose, we delete it, anonymise it or remove the means by which it can be associated with an individual. Information may remain in protected backups until those backups are overwritten in the ordinary course.

7. Cookies and local storage

The Website does not currently use advertising cookies or third-party analytics trackers. Fonts, images and other Website assets are served locally. Our hosting infrastructure may keep standard access and security logs.

If you select a light or dark colour theme, the Website stores that preference in your browser's local storage. This preference remains on your device and is not used to identify you or track activity. You can remove it through your browser settings. If we introduce non-essential cookies or similar technologies, we will provide notice and choice where required by law.

8. Security

We use reasonable administrative, technical and physical safeguards designed to protect personal data against accidental or unlawful loss, misuse, alteration, unauthorised access, collection, use, disclosure, copying or similar risks. No method of transmission or storage is completely secure.

If we identify a data breach, we will assess it and notify the Personal Data Protection Commission and affected individuals where required by the PDPA or other applicable law.

9. Your rights and choices

Subject to the PDPA and applicable exceptions, you may ask for access to personal data about you in our possession or control and information about how we used or disclosed it during the preceding year. You may also ask us to correct an error or omission in your personal data, or withdraw consent for its collection, use or disclosure.

Depending on where you live, other privacy laws may give you additional rights. We will honour those rights where they apply. We may need to verify your identity and authority before acting on a request. Applicable law may allow or require us to refuse or limit a request; if so, we will explain our decision where permitted.

To exercise a right, withdraw consent or raise a concern, email [email protected]. You may also contact the Personal Data Protection Commission of Singapore if you are not satisfied with our response.

11. Children's privacy

The Website is intended for a business audience and is not directed to children under 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided personal data through the Website, please contact us so that we can investigate and take appropriate action.

12. Changes to this policy

We may update this Privacy Policy to reflect changes to the Website, our data-handling practices, providers or legal obligations. We will post the revised policy on this page and update the effective date. Where reasonably practicable, we will provide notice of material changes.
